GETTING STARTED: Activate Your Subscription

  • You have the ability to activate the Marketplace on your own
  • Click on My Account  >>  Manage
  • Click on Marketplace Settings
  • Click on the green button - Enable Marketplace
  • Once you enable your Marketplace, all admins in your organization will receive an email that it has been activated
  • Now that you've gotten that out of the way, let's get to the fun stuff! :)  Please follow all the steps below to get your organization properly set up and ready to start

Overview of First Steps (for Admins)

Once Vinosmith has enabled your organization, admin users will need to do the following:

  1. Activate your Marketplace settings
  2. Create a company profile, delivery instructions, and email notifications
  3. Update products 
  4. Select prices to include in the Marketplace
  5. Select account contacts to be invited to Marketplace

Update Your Marketplace Settings in Your Admin Panel

  • Click on My Account, click on Manage on the left-side menu
  • Click on Marketplace Settings
  • Click on Edit Settings 
  • Next to Active, please select the appropriate option for you 
    • Yes -- your Marketplace is live and running
    • Pending -- your Marketplace is active but not visible to Buyers (you're still updating wines, pricing, etc.)
    • No -- not an active Marketplace
  • Add your Profile -- this information will be displayed in the Marketplace
  • In Ordering Notes, add delivery requirements/instructions

*Friendly reminder:  If your Active setting is set to Pending, please don't forget to change it to Yes when your Marketplace is ready to be visible to buyers. Also, you still have the ability to see how your data looks via the Demo link, as that shows your live data.

Get Notified for All Trade Orders (Admins)

(Optional, but recommended)

Admins are not automatically set up to receive email notifications when an order request is received from Marketplace. To enable this feature, please follow the steps below:

  • Click on My Account, click on Manage
  • Scroll down to Outbound Emails 
  • Click on `Add` on the right-hand side
  • Select Key:  trade.orders
  • In the Recipients box, add the appropriate admin email addresses

*Please note: The Rep on the Account will automatically receive emails when orders are placed.

Enable Your Wines

There are a few different ways to enable wines in the Marketplace. Once a wine has been enabled, you will see an "M" icon next to the wine.

  • Edit an Individual Wine
    • Click on the Wines tab 
    • Click on the wine to be enabled
    • Click on Edit from the left-hand navigation
    • Scroll down to the bottom to Marketplace?, select Yes
    • Click on Save
  • Batch Update Wines via Marketplace Settings
    • Click on My Account, click on Manage on the left-side menu
    • Click on Marketplace Settings
    • Click on Batch Update Wines & Prices
    • Update each drop box as needed
    • Click Perform Action
  • Batch Update Wines via Wine Properties
    • Click on the Wines tab
    • Scroll down, click on Export Properties
    • The following the properties values are required for an item to be included in Marketplace
      • Active = Yes
      • Marketplace = Yes
      • Admin-Only = No
      • Inventory Item = Yes 
    • Optional - provide additional wine information (appellation, info) to make your products stand out
    • Upload the updated file from the Import Properties page

Enable One or More Prices for Marketplace

There are a few different ways to enable prices in the Marketplace. Once a price has been enabled, you will see an "M" icon next to the wine.

  • Edit an Individual Price 
    • Click on the Wines tab 
    • Click on Manage in the price section
    • Click on the price to edit
    • Scroll to the Marketplace? fieldselect Yes
  • Batch Update Pricing via Marketplace Settings
    • Click on My Account, click on Manage on the left-side menu
    • Click on Marketplace Settings
    • Click on Batch Update Wines & Prices
    • Update each drop box as needed
    • Click Perform Action
  • Regarding Price Groups
    • When configuring Price Groups, the "Region" field must match the Account's shipping states for the price to display

*Please NotePricing labeled “Private” can be included in the Marketplace. Private pricing is only excluded from Tasting Sheets.

Enable Your Warehouse Inventory

  • Click on the Wines tab 
  • On the left-side menu, under Warehouses, click on Manage 
  • Click on the desired warehouse
  • Click Edit
  • Check Marketplace? 
  • Click Update
  • The red "M" icon indicates it's available in the Marketplace

*Please NoteWhen enabling more than one warehouse, the Inventory Status in Marketplace will pull the cumulative inventory from all the warehouses enabled for the Marketplace to that product. 

Invite Your Account Contacts

There are a couple of ways you can invite buyers to your Marketplace:

  • Click on the Accounts tab
  • Select the Account you'd like to invite
  • Go to the contact, click Edit
  • Click on Invite on the left side 
  • From this window, you can send the invitation one of 2 ways:
    1. Write a message and click Send Invite (optional)
      • Contact will be automatically flagged as a Marketplace contact
    2. Copy the URL and send a message from your email program to that contact

To Send a Mass Invitation:

  • Click on the Accounts tab
  • Click on View Contacts from the left-hand navigation
  • Under Marketplace, click on Send Invites
  • Follow the instructions on the screen
  • Click Continue

*Important notes about inviting contacts:

  • The URL is specific to that account contact. 
  • Vinosmith does not record sending the invitation as an account communication.
