There are two parts: (1) creating the tasting sheet template to be used for multiple tasting sheet exports and (2) updating each wine with the pertinent information to be displayed on any export.
Setting up your Tasting Sheet Template
**You must be logged in as an admin**
- Go to admin panel by clicking on My Account in top right
- Click Manage on the upper left of Your Profile page
- Click on Tasting Sheet Templates on the upper left
- Click Add A New Template on the upper left
- Select your preferred settings (see below for a description of each).
- When you are finished, select Save
Description of items in tasting sheet template:
- Default - if clicked it will set as the default
- Title - this is the internal title for your reps to see, it will not be published
- Actual Tasting Sheet Title - the external title published underneath the Representation name. Please note: this is ignored on Version 2 and 3 of the tasting sheets. Users have the option to provide their own title at the time of PDF generation.
- Website - will publish to the tasting sheet, if they email the PDF, it is a link
- Footer - custom text for the footer of this tasting sheet template, will publish to each sheet on the tasting
- Logo - this would be your company logo, to be displayed in the top left corner of each page on the tasting sheet
- Wine Placeholder - this will be a generic image that would fill in on any wines where you have not uploaded an individual/unique bottle shot. This image will only show if the wine selected does not have a bottle shot attached.
- Optional Wine Properties - a checklist (shown below) of what will show for each wine on the tasting sheet. The selected properties are listed below the Tasting Sheet Display Notes that can be populated on the individual wine page.
- Please note: the more of these selected, the more of the page each wine will take up on the tasting sheet. We find that 3 or 4 is a good number of properties.
- Include Aging?
- Include Alcohol Content?
- Include Appellation (Sub-Appellation, Single Vineyard)?
- Include Category?
- Include Classification (Type)?
- Include Farming?
- Include Product Type?
- Include Region?
- Include SRP Price?
- Include Unit Set and Bottle Size?
- Include UPC?
- Include Varietals?
- Include Vineyard?
- Include Vinification?
- Include Wine Awards and Points?
- Use Producer Logo if Wine Logo Not Available
- Please note: the more of these selected, the more of the page each wine will take up on the tasting sheet. We find that 3 or 4 is a good number of properties.
Adding photos and tasting sheet notes for each wine in your portfolio:
-
Go to an individual wine
-
Go to the bottom of the page, see the bottom two sections: Images and Tasting Sheet Display.
-
For the image, just attach an image and save, you do not need to format. This could be a bottle shot or label.
-
For the tasting sheet display notes, click ‘edit’ in the far right, and add text. I recommend to keep this to about 3-4 sentences max or it overloads the formatting. (*you’ll see that when you go to edit the notes it takes you to the edit wine screen and you can check boxes for farming, fill in fields for vilification, aging, etc. This way the notes can really be focused on telling a story while the facts are organized/laid out differently).
