Welcome to Vinosmith!  As a new user to Vinosmith, we encourage you to review the instructions below.  These tips will set you up to maximize all the benefits of Vinosmith.

1. Need help or have questions? Get Answers from the Knowledge Base

The Knowledge Base is a searchable encyclopedic database all about how Vinosmith works! It is a great resource for step-by-step instructions to review commonly performed tasks while you are getting familiar with your Vinosmith. It is also available for you anytime in the future when you want some instant help.

The Knowledge Base can be accessed by scrolling down to the very bottom of any page in Vinosmith and clicking the red "Browse the Knowledge Base" link found in the left corner OR by clicking on the red box in the bottom right-hand corner of any screen in Vinosmith and typing in your question/keywords. You can also reach us at help@vinosmith.com.

 

2. Prioritize Accounts and Set Account Love Thresholds

Prioritizing accounts will help Vinosmith help you monitor your activity with your accounts based on the level of priority you assign and your selected account love threshold. You will also activate the functions on the dashboard for Re-Order opportunities and Unloved Accounts. This will make it easy for you to see what accounts need attention and who has not been ‘loved’. Remember, you can always choose to edit the priority of an account or a love threshold for the priorities by following the steps below.

To Prioritize Accounts:

  1. Go to the accounts page, click on ‘manage priorities’ in the left-hand column

  2. Select a priority level for each account (the default is Medium)

  3. Once you have given each account a priority level, click ‘Update’ at the bottom of the page

To Set Account Priority Love Thresholds:

  1. Go to ‘My Account’ in the top right-hand corner of the screen 

  2. At the bottom of the page, you’ll see a section for ‘Account Priority Love Thresholds’. 

  3. Input a number corresponding to the maximum number of days between a ‘touch’ for each priority. A ‘touch’ can be a tasting, order, communication, or note on that account page. As an example, Justinian uses 6 for high, 12 for medium, and 21 for low priority.

  4. Click the blue ‘Update’ button to save

3. Sync Your Calendar with Vinosmith

This will subscribe your Vinosmith calendar (events, reminders) to your iCal, Outlook, GCal, or whatever calendar program you use. Once you have this setup, when you enter tastings, reminders, or events on the Vinosmith platform, they will automatically push over to your calendar.  If you are using iCal for your iPhone, they will show up on your phone calendar as well. 

To Sync Your Calendar to Vinosmith:

  1. Go to the ‘Calendar’ tab on Dashboard
  2. Bottom left corner of the calendar graphic there is an orange link for ‘Get Calendar Feed’, click here
  3. Copy the URL provided, and go to your calendar program
  4. In your calendar program, find the ‘subscribe to new calendar’ function
  5. Save that calendar

4. BCC Archive Email Function

This is a key feature that will automatically save a copy of an email to the account page when you are sending an email to that contact. When you add this BCC address to an email, Vinosmith will archive a copy of that email on the account page, both under ‘Communications’ and under the individual contact. This also will count as a ‘love’ for that account. 

Please note, the contact's email MUST be saved in Vinosmith for this feature to work!

To Use the BCC Archive Email Function:

  1. Go to the ‘My Account’ link in the top right corner

  2. You will see the BCC archive email address provided in the top center of this page surrounded by a beige box. Each user has their own unique address

  3. When you are writing an email to a contact that is entered in Vinosmith, just add this BCC address on that email, and Vinosmith will archive a copy of that email on the account page, both under ‘Communications’ and under the individual contact

5. Access Vinosmith from A Mobile Device

Be sure and log into Vinosmith via your preferred web browser on your mobile device just like you would on the desktop. There is a button to “VIEW MOBILE SITE”, be sure to click this to optimize Vinosmith for your mobile device.
