How to Enable Back Orders
- Click on My Account
- Click on Manage
- Click on Edit
- In the Order Processing section, click on the drop-down for the Allow Access for Back Orders field.
- Select your preference: None, Admin Only, or All Users
- Click on Save Changes
Now that the Back Orders feature has been enabled, it's ready for use.
Essential Things to Know About Back Orders
- Inventory -- Back orders will not be deducted from inventory.
- Warehouse -- the item's Primary Warehouse will be the only one reflected.
- Pricing & Warehouse—When creating backorders, There is no option to select pricing and/or warehouse. However, this can be done when the back order is converted into an active, future, or draft order.
- BO# -- is automatically assigned. The number sequence can be forwarded on the admin panel.
- Closed back orders (BO) -- closed backorders cannot be edited and/or re-opened.
- Backorders cannot be linked to a purchase order
How To Create an Order for Back Orders
- Click on Orders
- From the left-side menu, click on Back Orders
- Click on New Back Order
- Select the Account this item(s) is for
- Start adding your item(s) and any notes as needed
- Notes can be added to a line item or the entire order
- Click on Submit Back Order
How To Convert a Back Order to an Active, Future, or Draft Order
- Click on Orders
- From the left-side menu, click on Back Orders
- Click on the BO# you would like to convert
- From the left-side menu, click on Start Order
- Key in all the necessary data
- Click on Submit Order
- Once the order has been activated, the back order will be marked as Closed

- Back Orders can be found in multiple spots within Vinosmith:
- In the Back Orders section
- On the Accounts page
- On the item's Product page
- On the item's Producer page
- On the Importer page
- Back Orders Report
How to Enable Email Notification
When a back order is created, the rep assigned to the account will receive an email notification. Admin users can also receive a notification by enabling an OutboundEmail key.
- Click on My Account
- Click on Manage
- Scroll down to the Outbound Emails section
- On the far right, click on Add
- Select back.orders.create
- Click on Save
