Vinosmith has several flag options when setting up an item. This article will discuss the function of each flag.

  • Taxable? - This should be checked if your organization applies taxes to wholesale orders and your organization is leveraging the tax functions in Vinosmith. 
  • BTG? - "By the glass" is a flag that just tags the item as BTG on the Wines page and Price Book filters - this is not related to the actual pricing of the item.
  • Inventory Item? - By default, items are flagged as "Inventory Items."  Items considered non-inventory might be broken case fees, shipping fees, etc. Non-inventory items are excluded from select reports.
  • Include on Packing Slips? - The item will be included when generating and printing packing slips. If this option is unchecked, the wine will be excluded from the packing slip regardless if the wine is included in an order.
  • Include on Price & Tasting Sheets? -  The item will be included when generating a Price Book and/or Tasting sheet. If this option is unchecked, the wine will be excluded from the price book and/or tasting sheet regardless if the item is part of the portfolio.
  • Admin Only? - Item will only be visible to admin users.
  • Orderable by Reps? - The item can be ordered by both admin and sales rep users. If this option is unchecked, the sales rep can see the wine but cannot place it on an order. They would have to request an admin to add it to the order.
  • Manager Approval? -  This is simply a flag and does not trigger an action if enabled. Its purpose is to communicate to the user that they can order the item but should ask for approval before adding it. 
  • New Vintage in Stock? - The Item has a newer vintage available.
  • Samples Allowed? - This is simply a flag and does not trigger an action if enabled. Its purpose is to communicate that the item can be ordered as a sample for Sample Accounts.
  • EDI Export? - Most Warehouse Order Exports (Vinlux, CWE, Hanover NJ, etc.) don't support arbitrary items such as sample fees, discount fees, split case fees, etc. These should be excluded from warehouse exports. Checking this option will ensure those items are excluded from supported warehouses.
  • Discontinued? - The item has been discontinued. When the item is searched, "Discontinued" will be next to the item's name in the results. It's also marked as "Discontinued" at the wine level as well.
