Vinosmith can generate the ALBA warehouse compatible orders file and transmit it via FTP to ALBA.

Step 1: Prepare Supplier Delivery Methods

ALBA can utilize many sub-contractor delivery agents. Each of these need to be created in Vinosmith as a Supplier Delivery Method. Crucially the External Identifier (1) field contains data provided by ALBA and in Vinosmith that single field holds 3 pieces of information. See below.

When creating the delivery method there are a few important details:

  1. Delivery via: choose Generic
  2. Title: provide a descriptive value to identify this agent
  3. Include in Batches: choose Yes
  4. External Identifier (1): provide a comma-delimited list of 3 parts, representing a
    1. Code
    2. Name
    3. Freight Terms, one of "C" for Collect or "P" for Pre-paid

 

Example of the External Identifier (1) value: assume the shipping agent has values 

Code = ADV

Name = ADVANTAGE

Carrier Title = ADVANTAGE TRANSPORTATION INC

Freight Terms = C

 

When creating the delivery method I would put the Carrier Title in the Vinosmith Delivery Method Title field.

For the External Identifier (1) field concatenate the "Code,Name,Freight Terms" as comma-delimited and enter this value:

ADV,ADVANTAGE,C

 

Step 2: Confirm Orders

During normal order confirmation from the Deliver Via dropdown choose the relevant delivery method. Confirm multiple orders throughout the day.

 

Step 3: View Pending Deliveries; submit to ALBA via FTP

When you are ready to submit one or more orders to ALBA, navigate to the Pending Deliveries screen. This link is in the Orders tab in the left navigation.

Choose the orders to submit by selecting the checkbox in the left column.

Scroll down to the bottom and click on the With Selected: and choose ALBA: Submit via FTP

The selected orders will be transmitted to ALBA in a background process that can take up to a few minutes for processing. Once submitted the orders will be removed from the Pending Deliveries screen.

Please note: until the orders are fully submitted they will remain on the Pending Deliveries screen. Be careful not to resubmit the same orders to ALBA. Vinosmith doesn't know how ALBA behaves when they receive duplicate orders. 

 

Submitting Purchase Orders to ALBA

Vinosmith can submit a Purchase Order to ALBA via FTP. This is done by electing to submit a single PO at a time.

Here is how to send a Vinosmith Purchase Order to ALBA:

  1. Navigate to the Purchase Order
  2. In the left panel look for the "Alba Warehouse" section
  3. In that section click on the link to Send via FTP

 

Vinosmith will transmit the PO to Alba asynchronously and you will be notified via email.
