A Vinosmith user (sales rep) can be linked to a QB Sales Rep. This mapping (linking) will be used when Vinosmith pushes an Invoice to QB so that the correct QB Sales Rep can be assigned to the Invoice.

The mapping is a three-step process:

  1. Admin creates the User in Vinosmith.
  2. Vinosmith needs to fetch your list of Sales Reps from QB. (You must do this as your list of QB Sales Reps changes).
  3. You need to manually map the Vinosmith User to one QB Sales Rep (You only need to do this once, per sales rep)

Complete Steps

  1. From your management screen, in the Quickbooks Desktop section, click on Request Fetch, and on the next screen, click on the button for Sales Reps

  2. Wait for the processing to complete, which is dependent upon your QB Web Connector check-in interval.

  3. To map the entries, go back to your management screen, and in the Quickbooks Desktop section, click on the link for Manage Sales Reps.

  4. On this next screen, you'll see two columns: the left is the Vinosmith User, and the right is a list of QB Sales Reps.

  5. Proceed to go down each row and choose the correct QB Sales Rep from the drop-down that matches the user on the left.

  6. If you do NOT see your complete list of QB Sales Reps in the drop-down, you might need to wait for the fetch you initiated back in Step 1 to complete. So wait a few more minutes and come back.

  7. When you're done mapping the records, click the Save button at the bottom.

 

Lastly, click "Re-Calculate Sales Rep Account Assignments" to update the rep's account assignment. This is an additive action, not a replacement.
