Vinosmith allows you to capture inventory that is arriving in the future. This can be helpful for Sales Reps to know that a certain quantity of wine is expected to arrive on a future date and when that date is.

This is called Wine Pre-Arrivals.

How to Enter Pre-Arrival Information - by Each Individual Product

  1. Go to the specific Product you would like to update
  2. On the right-hand side, beneath the inventory table is another section titled Pre-Arrival Info - click the Manage button
  3. Proceed to enter the pre-arrival information and save your changes.

All users can view all pre-arrivals in Vinosmith by going to the main Wines tab and then clicking on the View link in the Pre-Arrivals section.

**Please Note:

  • The Pre-Arrival inventory does not automatically move into active inventory at a warehouse. An Administrator has to initiate this transition. This can be done by clicking on the wine's pre-arrival information and following the prompt.
  • When batch updating Pre-Arrival we ADD to that wine's existing pre-arrival quantity unless the reset option is checked.

How to Enter Pre-Arrival Information - by Importing via Batch

This process would allow you to import multiple Pre-Arrivals at one time. It will not override any existing data. 

  1. Before updating your pre-arrivals in batch form, please take a moment to review the Import Instructions first to help ensure a successful upload
  2. Update your spreadsheet 
  3. Upload your data
    • Click on Wines
    • From the left-side menu, under Pre-Arrivals, click on Manage
    • Click on Import From Excel
    • Upload your file 
    • If you would like to reset all other existing Pre-Arrivals, in the Reset other wine pre-arrival? field, key in yes reset (if you  would like to just add new Pre-Arrivals, this field can be left blank)
    • Click Import

QB Integration - Reading On Order (POs)

Vinosmith can capture multiple Purchase Orders (POs) from QBO & QBD and store that information in the pre-arrival section. The Order inventory bucket is a total of all POs, whereas the pre-arrival section will separate each POs information. The date on the pre-arrival is QB's PO txn date + 30 days. This is because QB will not give us access to the Expected Arrival Date. We also take private notes and memos at the PO level and set them in the pre-arrival notes.
